# Sanjar Usman

I run the project department at EZ Solutions, an event agency, and moved its work onto AI agents myself.

Seven years in design, projects and events: dealer conferences, car launches, regional promo tours. Since 2026 everyone in my department has their own agent in Telegram. Now I build the same for other teams, starting with one workflow.

## Case: Agents for my own department

An internal project of our department at EZ Solutions. My role: head of the department and author of the rollout. I designed, built, launched and maintain it.

### Before
Four managers, 10–15 projects a quarter. Everything runs on Excel files on a network drive: project code registry, tender tracker, payments, event calendar, timesheets, mileage logs. Every row is typed by hand, and everyone has their own habits.

### What I built
Everyone on the team has their own agent in Telegram. You write to it like to a colleague: “open a tender”, “check the documents for this project”, “log a trip”. The agent finds the files on the network drive and makes the changes.

- Opens tenders and projects: code, registry row, a folder with ten subfolders, payment sheet, calendar mark
- Checks whether a project has all its documents and changes nothing without a “yes”
- Drafts the email to accounting for the completion act and invoice
- Keeps the client and supplier databases, including a blacklist
- Fills in timesheets and mileage logs
- Builds the event run of show

### How the working spreadsheets are protected
The agent never writes to Excel directly. Every edit goes through a queue: file lock, backup, write, and automatic rollback if data went missing. Emails and documents are only drafted by the agent; a person sends them. Every skill has test scenarios that run every night.

### What didn't work
- Early versions broke spreadsheets: formatting was lost, row heights disappeared. That is why the queue with backup and rollback exists.
- The bot for signing documents in Didox never worked in production. It was removed in favour of a ready open-source module.
- A daily task review with the agent never caught on: it was used once in three weeks.
- When an agent makes a mistake, a manager stays away for a long time. Every fourth message from the team was an answer to the agent's follow-up question, so the next version will propose the next step itself.
